The General Manager of Information Technology at this large Australian Financial Services organisation wanted to improve documentation. He wanted to improve the way he and his team document their monthly 1:1 meetings. He wanted to streamline their performance reviews. He turned to Microsoft OneNote.
The General Manager and his Executive Assistant started to explore how to implement a workable, sustainable and secure process. They wanted a way to document 1:1s using OneNote. They ran into confusing roadblocks. After looking at Microsoft Australia for assistance, Adopt & Embrace were introduced to help.
Performance Reviews and Our Engagement
Our engagement with the customer leveraged our Lean User Adoption approach. This approach focuses on the business problem first and the technology second. By taking the time to explore understand the desired process from the GM and his EA, we then devised two alternative approaches.
The alternative solutions.
Two alternative approaches were found for this organisation using OneNote. Going forward OneNote could now be used for
- collaborative 1:1.performance reviews and
- team meeting documentation that could be executed leveraging OneNote.
We tested both hypotheses with the Executive Assistant. We wanted to understand which approach would better suit her workflow and the expectations of her stakeholders in the process. We then introduced OneNote templates to help structure pages where input was required before meetings occurred.
The General manager achieved a consolidated view of all meeting documentation. This was easier to manage for his Executive Assistant. the approach was more secure than the previous attempts. The new process was sustainable and user-friendly for team members. This process will save tens of hours every month across the team when conducting performance reviews and 1:1 meetings.
