High-Level Adoption Plan – Who is this engagement for?

This High-Level Office 365 Adoption Plan engagement is designed to help organisations. Organisations that want a roadmap of activities that will help ensure, or help increase the adoption of Office 365 by their workforce.  This engagement is for organisations that need an answer to the following questions:

  • How should we position Office 365 to our workforce?
  • What use cases or scenarios make sense for us?
  • Which Office 365 workloads should we prioritise?
  • How should we communicate about our Office 365 launch?
  • What role will our executive sponsors and our change champions play?
  • How much training do we need, and when?
  • What is the best way to provide ongoing support?
  • How will we measure success?

 

What will we cover?

Generally, we will focus on identifying and mapping out tactics that will increase the chances of your organisation realising the benefits you called out in your Office 365 Business Case.  This will include, but is not limited to:

 

  • Your vision for Office 365
  • Documenting 3 strong use cases
  • What does success look like (and how do we measure it)
  • What does a 12-week launch plan look like, across:
    • Change Management (exec sponsor, change champions, coaching)
    • Communication
    • Training
    • Support
  • What resourcing/budget is required to execute that plan

 

What is included?

  • 1 x planning call (up to 30 minutes via Skype for Business Video, Microsoft Teams Video, or phone call) prior to attending site to tailor delivery to specific goals of your organisation or location and confirm logistics
  • Document review – in preparation for our adoption planning workshop, our team will need to review any existing project documentation you may have.  This review includes but is not limited to your business case, project plan, service descriptions, governance or policy artifacts and/or support documents related to your project
  • 1 x adoption planning workshop – an Adopt & Embrace Senior Adoption Specialist or Adoption Consultant on site for a three-hour in-person workshop
    • generally from 1 pm – 4 pm
    • Agenda:
      • Confirmation of scope of your Office 365 project, and project logistics (sites, number of team members per site, deployment method, deployment cadence etc)
      • Workforce analysis to identify the primary persona for the adoption plan
      • Use case documentation and prioritisation
      • Understanding of existing communication channels, change networks, training resources currently in place or available
    • Attendees (note session is more focused on the business and use cases vs technology)
      • Core Project Management/Change Management team working on your project
      • Representation from change champion network (if it exists/is available)
      • Representation from your service desk
      • Executive Sponsor (for the first 30 minutes – if available)
  • Development of 1 x high-level adoption plan – actionable guidance that you can execute to increase relevant adoption of Office 365
    • Up to 20 pages or 20 slides in length (delivered as PPTX or DOCX)
    • Includes resourcing estimates to execute your adoption plan
  • 1 x adoption plan handover call (up to 60 minutes via Skype for Business Video, Microsoft Teams Video, or phone call) to walk you through the high-level adoption plan, and answer any questions
  • 1 x review & update loop (based on feedback from the adoption plan handover call)
    • Feedback to be provided by the customer within 72 hours of the adoption plan handover call
    • Feedback to be provided via email
    • Adoption Specialist will spend up to one day of effort in making updates to the plan based on feedback
    • Final document provided via email
  • Consideration of all our stakeholdeCertified B Corporationrs
    (as a Certified B Corporation we think this is really important)

    • Community – 1% of your investment in this engagement will be donated to Batyr, a for-purpose organisation that focuses on preventative education in the area of youth mental health
    • Environment – carbon emissions from travel required to deliver this engagement will be offset by GreenFleet

 

What is not included?

  • Handouts or other printed material
  • Any projection or display equipment
  • Any demonstration headsets, laptops or other devices to illustrate use cases
  • Any travel-related costs for delivery of the adoption planning workshop.  Costs for our Adoption team members to attend site will be passed on to you at cost.

 

What do we need from you?

  • A contact to engage with to help facilitate logistics of the adoption planning workshop
  • A comfortable room for the adoption planning workshop in at each location
  • Access to power for the Adoption Specialist’s laptop
  • Access to HDMI or VGA connection to a projector (or display) for Adoption Specialist’s laptop
  • Guest wireless access with an internet connection
  • Access to any existing project documentation (can be subject to NDA if required)
  • Access to your Executive Sponsor if there is one for your project (if available)
  • At least 5 days notice when booking, subject to availability

 

 

Cancellations / Change of dates

As a small business, we try to be as flexible as we can be to accommodate our customers.  That being said, last minute cancellations and changes to confirmed bookings in our schedule can have a significant impact on our business.  Although cancellations are very rare, date changes do happen from time to time.  We want to make sure you know our policy ahead of time (just in case)

  • Cancellations with at least 30 days notice
    • Cancellation Fee: None
    • Any fees paid will be 100% refunded via the payment method you used, minus any unrecoverable travel bookings or other ancillary costs incurred as part of preparing for delivery

 

  • Cancellations with between 30-15 days notice
    • Cancellation Fee:  We will charge you up to 30% of the total booking + any unrecoverable travel bookings or other ancillary costs incurred as part of preparing for delivery
    • This will be taken from any fees that may have already been paid, the remainder will be invoiced to you

 

  • Cancellations with 14 days notice or less
    • Cancellation Fee:  We will charge you up to 50% of the total booking + any unrecoverable travel bookings or other ancillary costs incurred as part of preparing for delivery
    • This will be taken from any fees that may have already been paid, the remainder will be invoiced to you

 

  • Date changes with at least 14 days notice
    • Change of date Fee:  None (subject to availability of new dates)
    • Note that changes to travel bookings may incur additional charges.  These charges will be passed on to you

 

  • Date changes with 14 days notice or less
    • Change of date Fee:  We will charge you up to 30% of the total booking (subject to availability of new dates)
    • Note that changes to travel bookings may incur additional charges.  These charges will be passed on to you
