Proof of Concept – Who is this engagement for?

This Proof of Concept engagement is designed to help organisations that want to understand how Microsoft Teams could be used to improve their business processes or work practices. Organisations that need answers to the following questions:

  • How can we make working together easier?
  • What can we do to decrease reliance on email?
  • How can we create spaces for our project teams to work better together?
  • How can we improve situational awareness for teams across our business?
  • How can Microsoft Teams add value to our organisation?

 

What will we cover?

In this engagement, we will focus on helping small groups within your organisation to identify high-value business use cases or scenarios for which Microsoft Teams can have a positive impact on business results. This will include, but is not limited to:

  • Understanding your organisations’ specific environment, both business and technology focused.  From a technology point of view, specifically the configuration of Exchange and SharePoint Online, other services which impact the Microsoft Teams experience
  • Facilitate several co-design workshops in which we will, in conjunction with participants, design and implement a simple use case relevant to their team.  Participants will walk away from the co-design with the ability to use their Microsoft Teams team to do real work
  • 1:1 or small group coaching over the next few weeks to guide participants in how they use Teams to generate value for their organisation

 

What is included?

  • 1 x planning call (up to an hour via Skype for Business Video, Microsoft Teams Video, or phone call) The call will take place prior to attending on-site at your organisation. We will tailor the delivery to the specific goals of your organisation or location and confirm the logistics
  • Discovery & Success Criteria (4 hours) – in preparation for our Teams Proof of Concept workshop, our team will need to understand the current state of the Microsoft Teams environment and associated infrastructure – with a specific focus on the constraints that may impact the scale of success of the Proof of Concept. We will discover any latent use cases appropriate for the participants in the project. The goals, scope and success metrics for the Proof of Concept will be documented in no more than 5 slides
  • 4 x Microsoft Teams co-design workshops – an Adopt & Embrace Senior Adoption Specialist or Adoption Consultant on site for four, two-hour in-person workshops
    • generally from 10am – 12pm and 1pm-3pm each day
    • Agenda:
      • Work with Proof of Concept participants to introduce them to Microsoft Teams (and associated services)
      • Discussion regarding specific team processes that could be improved leveraging Microsoft Teams
      • Together, start to co-create a Teams workspace that matches the needs of a business challenge or opportunity at your organisation
  • Train / Coach PoC participants (up to 1 day of effort across 3 weeks) – Engage with PoC participants via Video and Text in a Microsoft Team to coach and guide them through the PoC process. Coaching focused on applying Microsoft Teams to solve specific business challenges
  • 1 x PoC Outcomes Presentation (6 hours prep, 45-minute presentation) – Document outcomes of the Proof of Concept and deliver a 45-minute walk through and discussion of the identified ‘real world’ use cases (including examples from the PoC)
  • Consideration of all our stakeholdeCertified B Corporationrs
    (as a Certified B Corporation we think this is really important)

    • Community – 1% of your investment in this engagement will be donated to Batyr, a for-purpose organisation that focuses on preventative education in the area of youth mental health
    • Environment – carbon emissions from travel required to deliver this engagement will be offset by GreenFleet

 

What is not included?

  • Development of a high-level design or other documentation beyond simple documentation of the use case
  • Handouts or other printed material
  • Any projection or display equipment
  • Any demonstration headsets, laptops or other devices to illustrate use cases
  • Any travel-related costs for delivery of the co-design workshops.  Costs for our Adoption team members to attend site will be passed on to you at cost.

 

What do we need from you?

  • A contact to engage with to help facilitate logistics of the co-design workshops
  • A comfortable room for the co-design workshops on both days
  • Access to power for the Adoption Specialist’s laptop
  • Access to HDMI or VGA connection to a projector (or display) for Adoption Specialist’s laptop
  • Guest wireless access with an internet connection
  • At least 5 days notice when booking, subject to availability

 

 

Cancellations / Change of dates

As a small business, we try to be as flexible as we can be to accommodate our customers.  That being said, last minute cancellations and changes to confirmed bookings in our schedule can have a significant impact on our business.  Although cancellations are very rare, date changes do happen from time to time.  We want to make sure you know our policy ahead of time (just in case)

  • Cancellations with at least 30 days notice
    • Cancellation Fee: None
    • Any fees paid will be 100% refunded via the payment method you used, minus any unrecoverable travel bookings or other ancillary costs incurred as part of preparing for delivery

 

  • Cancellations with between 30-15 days notice
    • Cancellation Fee:  We will charge you up to 30% of the total booking + any unrecoverable travel bookings or other ancillary costs incurred as part of preparing for delivery
    • This will be taken from any fees that may have already been paid, the remainder will be invoiced to you

 

  • Cancellations with 14 days notice or less
    • Cancellation Fee:  We will charge you up to 50% of the total booking + any unrecoverable travel bookings or other ancillary costs incurred as part of preparing for delivery
    • This will be taken from any fees that may have already been paid, the remainder will be invoiced to you

 

  • Date changes with at least 14 days notice
    • Change of date Fee:  None (subject to availability of new dates)
    • Note that changes to travel bookings may incur additional charges.  These charges will be passed on to you

 

  • Date changes with 14 days notice or less
    • Change of date Fee:  We will charge you up to 30% of the total booking (subject to availability of new dates)
    • Note that changes to travel bookings may incur additional charges.  These charges will be passed on to you
